HaulIt’s Bulk Billing is designed for time saving data input, therefore reducing billing errors. Whether you invoice from the drivers tags or scale tickets, the bulk billing can handle different preferences for different customers and/or jobs. A typical drivers tag will take less than 15 seconds to input, when utilizing the Dump Truck Dispatch and Job Costing modules. Upon inputting the tag number, date, and driver number, the system will automatically display what jobs the driver had in dispatch for the day. By simply clicking on the load, the information from dispatch and the job will be filled automatically.
The billing can accommodate rates by the ton, hour, yard, cwt, load, bushel or flat. Customized billing codes can be defined, and then billed to reimburse the driver, such as bridge tolls or weight certificates. Material can be billed with sales tax on material or freight or both. Fuel surcharges can be billed and/or paid to outside haulers.
Data input can be easily reviewed by generating a summary report or a detailed report. Reports have valuable information such as totals by job and by customer for billed amount, additional charge amounts, driver pay, hours, and profit. A dollar per hour rate is calculated to determine job profitability. Loop times are printed to determine driver performance.
Printing invoices is a simple task. There is only one invoice print function for multiple types of invoices such as combined freight and material, scale tags, and standard. Invoices print to screen prior to printing on paper or utilizing Adobe PDF function.
The freight bill history provides quick access to invoices. You can also reprint the invoices with one simple click. Informational reports can be quickly accessed. The Freight Bill Summary generates a report by customer by date, summarizing by customer, each job with number of loads, hours, units paid and billed with a net calculation. For a more detailed description, the Freight Bill Detail report has the same options as the summary report, but lists each freight bill by job number with a job subtotal. The Scale Tag History report, has options for dates, plant code and customer so that you can reconcile your invoices from the plants.
When utilizing owner operators, a broker fee, trailer rent and fuel surcharge options, each can be calculated concurrently. The information for the driver settlements is produced as a by-product of the billing.
Employee drivers settlement information is automatically updated with the freight bills. Driver pay transactions can be edited, deleted or added if necessary. The options for driver settlements include, employee by date or job by date, pay rate can be printed or not, and percentage pay can be converted to hours.
